Business Challenges
The client faced critical roadblocks in managing and monitoring their sales budgets effectively:
- SAP B1 lacks built-in quality management tools: Making it difficult to enforce consistent processes across operations.
- Manual tracking of inspection results: Introduces the risk of data entry errors and inconsistencies.
- Absence of standardized procedures for incoming and in-process quality checks results in inefficiencies and unreliable quality control.
- The inability to block defective items in inventory or trigger corrective actions negatively impacts product quality and operational efficiency.
- The lack of integrated reporting for non-conformance or inspection history limits the ability to monitor quality trends and track compliance.
Business Needs
- Automate quality inspections for:
- Incoming goods (GRPO)
- Production outputs
- Capture and store inspection results and test parameters
- Generate Certificates of Analysis (COA)
- Provide real-time dashboards and QC reports
- Ensure auditable records for compliance
Proposed Solution
- Developed a custom add-on for SAP Business One using the SDK.
- Integrated User-Defined Fields (UDFs) and User-Defined Tables (UDTs) to manage:
- Test parameters
- Inspection screens
- Linked inspection triggers with GRPO and Production Orders for automation
- Created a custom Quality Management screen to:
- Assign inspections
- Record results
- Auto-evaluate against acceptance criteria
- Applied logic to block stock based on QC status, using:
- Bin locations
- Batch attributes
- Utilized Crystal Reports to generate:
- Certificate of Analysis (COA)
- Inspection reports
Business Success
The implemented solution transformed the client’s sales planning and tracking capabilities:
- Fully Integrated Quality Control: A streamlined quality control process is now embedded within SAP Business One, enhancing both efficiency and accuracy.
- Improved Data Accuracy: Accelerated inspections enable more precise data collection and validation.
- Enhanced Traceability: Batch records and inspection logs provide greater transparency and accountability in operations.
- Reduced Risk: The system prevents non-compliant goods from entering inventory or reaching customers.
- Increased Visibility: Dashboards and reports offer valuable insights into quality trends and performance.
